ALSJ PRIVACY POLICY
Pursuant to ALSJ Bylaw 29.2 on Confidentiality which states that:
“All Directors, Executive Officers, and other volunteers must protect the confidentiality of the personal information of Association members and Association Lac Sir-John financial information: thus, they must not disclose personal information without the permission of the person concerned or financial information not released by the Executive.”, the following specific policies have been adopted:
- ALSJ will protect the confidentiality of any personal information of its members.
- Whenever members are asked to give their contact details, they will first be asked for their consent.
- ALSJ will not place its membership list on its website. It will not publish or sell members names and their contact information. Emails sent to multiple members’ emails will be send BCC (Blind Carbon Copy).
- Directors, Executive Officers, and other ALSJ volunteers will have only their names and positions posted on the website and conveyed to members in ALSJ emails. No personal contact information will be published.
- Lake residents, as well as any outside individuals or entities, will not be given access to the ALSJ Membership Register.
- Annually, ALSJ will purge its Membership Register of the names and contact information of people who no longer reside (even part-time) in a dwelling within the ALSJ territorial limits. It is the responsibility of members who no longer reside (even part-time) at the lake to inform the President or the Membership Officer of their change of status to non-resident. If a former member who has departed the lake wishes to remain in contact with the ALSJ community and to continue to receive ALSJ communications such as newsletter, or President’s communiques, that person may request that their name and contact information be added to a special email list for “Friends of Lac Sir-John”.
- The ALSJ President will also be serving as the ALSJ Privacy Officer (unless the President appoints someone else). The President will coordinate with other ALSJ officials who may need access to records containing certain contact information for ALSJ members, such as the Records Officer, the Membership Officer, the Treasurer, the Communications Officer, the Webmaster, and the Directors, in order to ensure that adequate security exists for these contact records.
- When the term of office of an ALSJ Officer or Director whose responsibilities require access to members’ contact information is finished, such Officer or Director will immediately transfer any contact information on ALSJ members in their possession to their successor (or return it to the President if there is no immediate successor).
- The ALSJ will report any security breaches of confidential information to the appropriate authorities.
